Speaking and being heard

Stage 7 · Lesson 5 of 6

Writing clearly as your backup channel

Disagreeing, saying no and writing clearly

When speaking is hard, writing is your strongest backup. You can think, edit and check before sending, which helps quieter people and second-language speakers. Clear work writing follows a few rules.

Put the main point or request first: "Can you approve the release by 4 pm?" Then add context. Use short sentences and short paragraphs.

Use bullet points for steps or options. Say exactly what you need and by when. Reread once before sending, and cut anything that does not help. Tools such as Hemingway Editor show long, hard sentences.

Common trapa long message that tells the whole story before the request, which busy people stop reading halfway.
