Final Year Project Report Best Practices
FreeA chapter-by-chapter guide to writing the final year project report, sometimes called the thesis or dissertation. It covers structure, the literature review, design and implementation chapters, testing and results, IEEE and APA citations, figures and formatting, how similarity checks really work, using AI tools honestly within university rules, and keeping the report under version control.
What you will learn
9 chapters ยท about 28 min
1Structure the report before you write itA clear structure agreed early saves weeks of rewriting. Start from your department's format and fill it gradually through the year.3 practices ยท 3 min
2Write the literature review chapterThe literature review shows you know the field and explains why your project is needed. Organise it around ideas, analyse rather than summarise, and end with the gap.3 practices ยท 3 min
3Write the design and implementation chaptersThese chapters show how you built the system and why. Explain decisions and trade-offs, keep diagrams consistent with the code and describe algorithms rather than pasting source.3 practices ยท 3 min
4Testing, evaluation and resultsThis is where you show the project works and how well. Test against your objectives, report numbers with their conditions and only conclude what your evidence supports.4 practices ยท 3 min
5Cite sources properly in IEEE or APA styleCorrect citation is how you give credit and how readers check your claims. Use the style your department asks for, consistently, and cite more than just papers.3 practices ยท 3 min
6Figures, tables and formattingGood figures and consistent formatting make a report easy to read and mark. Number and caption everything, refer to it in the text and follow your department's format rules.3 practices ยท 2 min
7Avoid plagiarism and understand similarity checksYour report will almost certainly go through a similarity checker such as Turnitin. Know what the score means, what your rules say and how to write so the problem never arises.4 practices ยท 4 min
8Use AI tools honestly within your university's rulesGenerative AI tools can help you learn, plan and check your work, but rules on their use vary and are changing. Know your rules, disclose what you used and own every word.5 practices ยท 5 min
- 1Find out your university's and supervisor's rules on AI before you use it
- 2Use AI to learn and check, not to produce work you present as your own
- 3Disclose and cite AI use in the way your rules require
- 4Keep drafts and history as evidence of your own writing
- 5Verify every fact, reference and line of code an AI tool gives you

About this guide
The final year project report is the part of your project examiners read most closely, and often the only part they can read again after the demo is over. A strong system with a weak report loses marks; a modest system with a clear, honest, well-cited report often does better than expected. The report is also what your university checks for plagiarism, and increasingly for undisclosed AI writing, so how you write it matters as much as what you built.
This guide follows the report from first outline to final submission. The first chapters cover structure and the chapters most reports share: introduction, literature review, design, implementation, testing, results and conclusions. The middle chapters cover citing sources in IEEE and APA styles, figures and formatting. The last chapters cover plagiarism and similarity checks, using AI tools honestly, and keeping the report under version control so nothing is lost the night before submission.
The advice is checked against real policy and style documents: the Higher Education Commission of Pakistan's Graduate Education Policy 2023 and its Turnitin guidance, India's UGC academic integrity regulations of 2018, Turnitin's own guidance on similarity and AI writing reports, the IEEE Reference Guide, APA Style's guidance on citing generative AI, and the FAST School of Computing FYP handbook. Policies differ between countries, universities and even departments, so the numbers quoted here are examples. Your department's handbook and your supervisor decide what applies to you.
Whether you are writing in Karachi, Hyderabad, Dhaka or anywhere else, the habits are the same: write as you build, cite as you write, and never submit a sentence you could not explain. Each chapter ends with a short quiz.
Common questions
What chapters should a final year project report have?
Most reports have front matter (declaration, abstract, contents), an introduction, a literature review or review of existing products, requirements and design, implementation, testing and evaluation, results and discussion, conclusions and future work, references and appendices. Development and research projects often use different outlines, so follow your department's format.
What similarity percentage is acceptable in an FYP report?
It depends on your university and department. HEC Pakistan's Graduate Education Policy 2023 gives the benefit of doubt up to 19% for MS and PhD work, with no uncited single source at 5% or more, and India's UGC 2018 regulations treat up to 10% as minor for masters and research theses. Undergraduate projects usually follow a department rule, so ask your FYP coordinator.
Should I use IEEE or APA citation style for my FYP report?
Use whatever your department specifies. Computing and engineering departments commonly use IEEE, with numbered citations in order of first appearance. Some programmes use APA, with author and year in the text and an alphabetical reference list. Whichever you use, apply it consistently.
Can I use ChatGPT or other AI tools for my final year project report?
Only within your university's and supervisor's rules, which vary widely. Where it is allowed, use it to explain, check and brainstorm rather than to write sections, disclose your use in the required format, verify everything it produces and make sure you can explain every sentence and line of code yourself.
Does a low Turnitin score mean my report has no plagiarism?
No. Turnitin says the similarity score only measures matching text and does not decide whether plagiarism happened. A low score can still hide uncited ideas or figures, and a higher score can come from properly quoted and cited material.
Should I put my source code in the FYP report?
Generally not in the main chapters. Describe algorithms and key logic with pseudocode or short snippets, and put longer listings in an appendix or link to the repository. Check whether your department wants the code submitted separately.

See all- Is a UK master's still worth it in 2026?It can be, but the maths has changed. Graduate tech jobs in the UK are harder to find, the Graduate visa drops from two years to 18 months for applications from 1 January 2027, and sponsored jobs have salary floors many junior roles miss. A UK master's is worth it if you want the degree itself, have a realistic plan for sponsorship, and can afford it without crushing debt.
- Should I do a master's abroad or get work experience first? For most software engineers, one to three years of work experience before a master's makes the degree more useful, the application stronger and the job search afterwards easier. Go straight away if you have a clear research goal, a strong scholarship, or a time-limited opportunity. Decide by your goal, not by what classmates are doing.
- Which freelance skills is AI replacing, and what should I switch to?AI is squeezing basic, repetitive freelance work first: plain data entry, simple transcription and translation, generic articles, basic logos and simple product descriptions. Work that combines a skill with judgement, client context or systems is holding up better, including automation, AI integration, analytics, specialist writing and full projects that own a business outcome.
